SecureMail: Contacts / Address Book

Instructions below ONLY apply to SecureMail.

 In this section, we will go over the following:

Address Book Introduction

You can access your Secure Mail Address Book in three places. 

Below we will go over accessing your Address book directly from the SecureMail section.

In this section, we will go over:

Accessing your Address Book

  1. Once you login
  2. Click on the Secure Inbox icon:

  3. On your left hand column, select Address Book

  4. This will open your address book, with any contacts you currently have listed.

  5. You can also click directly on any contact within your list to then compose a new email or secure drop message, the selected contacts email will be added in the TO field to start your new Secure Message.

  6. Select the X in the upper right hand corner of the Address Book to exit at anytime. This will bring you back to the SecureMail section of MySecurePractice.

Sorting by Email or Last Name

By default, the Address Book will list the users emails in ascending order.  You can sort your list of contacts either by Last Name or Email, located right below the Address Book title.

  1. Once you access your Address Book directly, select the Contacts Option within a Composed Secure Message or Secure Drop Share Files.
  2. Click directly on either Email or Last Name each time you would like to sort by either ascending or descending:

  3. Select the X in the upper right hand corner of the Address Book to exit at anytime. This will bring you back to the SecureMail section of MySecurePractice.

Searching Contacts

You can search for your contacts by First/Last name or email address as explained below.

  1. Once you access your Address Book directly, select the Contacts Option within a Composed Secure Message or Secure Drop Share Files.
  2. Locate the search field labeled Filter Contacts, in your upper right hand corner of the address book 
  3. Type in the First/Last name, or email of the contact you are looking for (enter at least 3 characters for search results to display)

  4. Select the X in the upper right hand corner of the Address Book to exit at anytime. This will bring you back to the SecureMail section of MySecurePractice.

Adding a Contact 

You can add any new contacts to your address book (registered users and new users no

  1. Once you access your Address Book directly, select the Contacts Option within a Composed Secure Message or Secure Drop Share Files.
  2. Select the + New Contact button
  3. Enter the following information as requested:
    1. *Email Address (required)
    2. *First Name (required)
    3. *Last Name (required)
    4. Suffix
    5. *Select recipient's role (required if new user not registered with MySecurePractice)
  4. Once you enter the email address and tab/click off the Email field, you may notice an additional field appear, labeled Select recipient's role *.
      • If this email is a NEW user not registered within our system, you will also need to give this user a role. (click here for further descriptions of each role):

        • Once all required fields are filled out, select Next

        • Confirm the email address, by retyping the entire email within the required Confirm Email Address field

        • Select the Save button to save this contact to your Address book/Contacts list.  
          • This will redirect you back to your Address Book, with your new contact added:

      • If this email is an existing user within our system, you will not be asked to select the recipient's role.
      • Additionally the user will be identified as a registered user by displaying the registered first and last name within a gray bubble as seen below
        • You can then use this information provided to enter the required first/last name:

      • Select the Save button to save this contact to your Address book/Contacts list

        • This will redirect you back to your Address Book, with your new contact added:

        • You can also click directly on the newly added contact within your list to then compose a new email or secure drop message, the selected contacts email will be added in the TO field to start your new Secure Message.

    1. Select the X in the upper right hand corner of the Address Book to exit at anytime. This will bring you back to the SecureMail or Secure Drop section of MySecurePractice.

Editing a Contact

In this section, we will go over the following:


Updating a Contact

  1. Once you access your Address Book OR Contacts within a Composed Message.
  2. Find the contact you would like modify, and select the Edit button (located to the far RIGHT of the contact)

  3. You can now modify the First/Last name and Suffix of this user for your own personal records.  This will show the updated name where ever it is displayed throughout the portal (just for your own personal view). 
  4. Once you are done editing, select the Update button to save your changes.

Resetting a Contact

If the user is NOT registered, you will not see a Reset button until the user is fully registered.  Note, you can still update their name if needed.

  1. Once you access your Address Book OR Contacts within a Composed Message.
  2. Find the contact you would like reset, and select the Edit button (located to the far RIGHT of the contact)

  3. Select the Reset button to restore this contact First/Last Name and Suffix to its original name which that user registered with.

  4. This will bring you back to your contact list, and you will see this user has been reset to it's orginally state!

Deleting a Contact

You can Delete any of your contacts within your address book.  This will remove that user visually from your contacts list, but through your address book you can always view or restore any deleted contacts at anytime.

  1. Once you access your Address Book directly, select the Contacts Option within a Composed Secure Message or Secure Drop Share Files.
  2. Find the contact you would like delete, and select the Delete button (located to the far RIGHT of the contact)

  3. A pop-up will ask you to confirm this action, select Ok to continue:
    • Or select the Cancel button, this will bring you back to your contact list.

  4. This will lead you back to your contact list, and you will notice the contact you just deleted is not longer visible within this list:

  5. Select the X in the upper right hand corner of the Address Book to exit at anytime. This will bring you back to the SecureMail or Secure Drop section of MySecurePractice.

Viewing and Restoring Deleted Contacts

  1. Once you access your Address Book directly, select the Contacts Option within a Composed Secure Message or Secure Drop Share Files.
  2. Select the Show Deleted Contactsdeleted-review.png
  3.  To restore this contact back to your address book list, select the Restore button located to the far RIGHT of the contact:

  4. This will restore your contact, you will notice it is no longer contains the orange highlight.  Also the options to the far right will change, you can now Delete this contact again or Edit.
  5. Select the X in the upper right hand corner of the Address Book to exit at anytime. This will bring you back to the SecureMail or Secure Drop section of MySecurePractice.

  6. Select the X in the upper right hand corner of the Address Book to exit at anytime. This will bring you back to the SecureMail or Secure Drop section of MySecurePractice.

Using Contacts while composing a Secure Message or Secure Drop

In this section, we will go over the following:


Using Contacts to Compose a Secure Message

  1. Once you login
  2. Select the Send Secure Message option from your dashboard:

  3. Within the Compose window, select Contacts

  4. This will bring you to your contacts list.  If the contact exists within your list, you can click directly on the designated contact within your list to then compose a new email.

  5. Once the selected contact from above is clicked on; this will direct you back to your compose window with that contact's email within the TO field.

    • OR, if you've already verified the contact you would like to use exists within your Contacts:
      1. Within the TO field, start typing their first, last or direct email (enter at least characters)
      2. Once you've entered at least 3 characters, it will display any contacts that match within a drop down menu
      3. Click directly on the matching contact within this drop down

      4. This will auto-add this email in the TO field.

  6. Additionally, you can do any of the following within your Contacts area (before sending):

Using Contacts to Compose a Secure Drop

  1. Once you login
  2. Select the Secure Drop option from your dashboard:

  3. Within the Share File window, select Contacts

  4. This will bring you to your contacts list.  If the contact exists within your list, you can click directly on the designated contact within your list to then compose a new email.

  5. Once the selected contact from above is clicked on; this will direct you back to your compose window with that contact's email within the TO field.

    • OR, if you've already verified the contact you would like to use exists within your Contacts:
      1. Within the TO field, start typing their first, last or direct email (enter at least characters)
      2. Once you've entered at least 3 characters, it will display any contacts that match within a drop down menu
